Leaving the University

Attention

If you have been using an Apple device and the iCloud service, you must sign out of iCloud before handing the Macbook or iPad back to us. Failure to do so will not allow us to reimage the device for the next user.

Any UT owned devices must be returned to Sysnet or the administrator in your group before leaving the University. This includes laptops, desktop, notebooks, iPads, monitors, printers, etc… Anything that has an official UT inventory tag!

Email

Sysnet does not manage Office 365 mailboxes or UTMail. You can find important information about what happens to your email when your appointment ends at UT. Please carefully read over the following knowledge base article from ITS about What Happens to my Email After I Leave the University.

Under certain circumstances, an account may receive a one-time extension to a 30-day EML entitlement period. The request for an extension must be made by a member of the Sysnet team within 7 days before the entitlement expires, we will submit this on your behalf. You must provide your EID and a good reason why you need the extension. We will not submit requests without a reason.

There is no forwarding service, once your appointment ends, so does your email entitlement. Make preparations before your appointment ends and not the day it ends!

Accessing resources after leaving

You will no longer have access to the VPN. Under some circumstances, students or researchers will have ongoing collaboration with a group or center and may need access to resources at the Oden Institute. We have policies in place for ongoing collaboration.

If you need an extension, submit a help request, copy your PI for approval purposes and provide a reason why you need continued access to resources. If you’re needing access to hosts at Oden, you will need to setup SSH keys, instructions can be found at Accessing hosts

Other services

Once your appointment has ended, you will immediately lose access to many UT services, such as Box and the VPN.
