What is Office 365

Office 365 is a Microsoft hosted messaging solution that delivers the capabilities of Microsoft Exchange as a cloud-based service. This means your email services and data will be located in data centers owned and managed by Microsoft. By utilizing this service, it removes the University’s operational burden for an on-premises hosted email service.

Will we still have an Oden Institute email address?

Yes, we will continue to have an @oden.utexas.edu domain for email.

What will happen to my email on Oden Institute servers?

If you are actively using an @oden.utexas.edu and not forwarding to another email provider such as gmail, your email will be migrated to Office 365 by Sysnet.

Will my forward continue to work?

Yes, your forward will continue to work.

Can I set up my forward if I don’t want to use Office365?

When will this migration happen?

The migration will begin once Sysnet has worked through all the migration issues. Once we have figured out all the issues, we’ll begin the migration and be in contact with individuals to schedule a time to move them over. We expect this process to take the remainder of this calendar year.

What other email options are there at UT?

The other option is UTmail

Will I be able to keep this email address after I leave UT?

No. The policy at Oden Institute has always been that email accounts are not for life. The same is true with Office 365 accounts. Once your appointment ends, we will be able to grant you a limited time (TBD) to retrieve and save your emails after which the account will be removed after 60 days. Once the mailbox is removed, emails are pemanently removed and cannot be recovered.

Are the emails backed up?

No. Deleted emails will be removed automatically after 30 days. Emails that have been deleted from the trash can be recovered for up to 14 days after being deleted.

Is there a web interface?

How much storage is available?

50GB for Office 365

Who do I contact if I need help?

Sysnet will provide support for general email questions, please email RT. If we are unable to answer your question, we may have to defer you to ITS for further help.

Will all my folders be migrated?

Yes. The preferred method for migrating your emails over to Office 365 servers will be determined by Sysnet.

Can I do this migration myself?

Absolutely, but we must coordinate this effort together so we can provision the mailbox, set the primary mailbox, share the mailbox with Sysnet, then set the forward up on our servers.

I use webmail at Oden Institute, will we continue to use this?

No, once your mail has been migrated, you can use the Outlook Web App (OWA).

Will my contacts be migrated over?

If you are using the webmail, most likely not since there is no migration path from contacts stored in Rouncube mail (webmail). Contacts can be exported from webmail.oden.utexas.edu and imported into Office 365. The same is probably true for other email clients.

If you want to migrate to another email address which is not hosted by UT, such as gmail, we will not be able to help you with this. We can only assist with migrating emails to Office 365 mailboxes only due to sharing restrictions. We can only provide suggestions on how to migrate your email using the same tools we are using to migrate to Office 365.
